General

  • We’ve started implementing the new UI framework which can now be seen on various screens:
    • Login screen
    • Employee Editor
    • Training Manager, Training Event Editor, Training Record Editor
    • Workflows.  Almost implemented everywhere.
  • Updated the setting to use Company as default selection, to include the “Show All” option as default selection on filters.
  • The Published Documents received an upgrade
    • User Interface is now better looking and larger
    • Opening a document allows viewing the document within the editor without first saving it as a file.  Applies to Word, Html, Excel and Pdf documents.
    • Document storage will from now on also be used for storing templates that will be used for Mail Merge purposes.
  • Leave Management
    • Fixed an access issue with opening leave applications online
    • #003686:  Fixed an issue where leave applications don’t automatically reject if a credit breach occurs.
    • #003692:  Fixed an error that prevented leave rules from being executed on a credit breach for new applications.
  • Performance Management
    • It is now possible for the Main Reviewer to temporarily hide their ratings and comments from the reviewee and other reviewers until after their performance discussion.  This is a configurable option to allow / disallow the feature (done on the Review Template).
  • Reporting & Exporting module
    • Replaced the landing screen with a new menu to access the various types of exporters and reports.
    • The new Advanced Report Generator will now be used for generating External Reports, SETA & BEE Reports and specialised reports like the Gap Forecast and Proposed Training Plan spreadsheets.
      • The new Report Generator is quick and easy to use with fewer settings to tick.
      • Report will now open the generated Excel Workbook directly in the Report Generator from where it can be viewed or saved to an Excel file.

Forms & Workflows

  • It is now possible to view completed forms from the Workflow Editor in the Windows application.  Both Initial Forms and Form Activities.  Functionality is limited with regards to viewing forms that contains Matrix questions.  
  • The Workflow Template Editor has been completely redesigned using the new UI framework which should make creating and configuring workflow templates faster and easier than before.  All the Activity Editors have also been upgraded to the new UI framework.
  • The “Subject” and “Long Description” fields for workflows can now be hidden based on workflow template settings.
  • Fixed an issue where the “arrow” was missing on the workflows list (to indicate that a next activity is due to be started).
  • #003702:  Fixed an issue with a “Reference a Workflow Activity” where the activity didn’t automatically complete when the referenced workflow completed, even though it was configured to complete.
  • Fixed an issue when selecting an External Company as the Target Record for a workflow.
  • Some overall changes to activity editors include
    • All activity editors have been upgraded to the new look and feel.  For more information, see Creating Workflow Activities.
    • Generate Document activity
      • The source document can now be viewed and edited directly in HR Manage without first saving it to a file and editing it in MS Word.
      • All the available Mail Merge fields are collected from the workflow template and are available for insertion into the document via a dropdown menu.
    • Training Request Action activity
      • This is a brand new type of workflow activity that is designed for exclusive use in Training Request workflows (created and managed from within a Published Event).
      • It is a multi-purpose activity that can perform different functions based on the configuration.  It can be used to Approve / Reject learners, Generate Quotation, Upload Purchase Order, Approve / Reject Purchase Order and finally, to create the final training records for the approved learners.
    • Send Email to Group
      • A new option has een created to indicate if the activity should be opened directly after starting or should the engine stay on the Workflow page.
  • The Workflow Designer has had a major upgrade.  Some of the upgrades and features includes:
    • New look for the activities on the workflow.
    • The designer is more responsive when dragging, resizing and moving items around and also performs much better when managing large workflows.
    • You now have more control over how the connector lines are drawn.  You can change the type of connector line and even drag them around to create your own custom paths.
    • Diagrams can now be exported to Image, Svg and Pdf formats and can even be printed.
    • New automatic layout features are available.
    • Meta data is now allowed.  Custom shapes, text, images and drawings can now be added to the diagram in order to organise it better and make it more manageable.  These custom items won’t show up for the people actually using the workflows and are for use by the workflow designer.  Helps with documenting workflows properly.
    • Editors in other modules also take advantage of the new workflow designer:
      • Incident Type editor
      • Review Process editor
  • The Workflow editor on the Windows application has been upgraded to the new UI framework, but also has some new functionality not previously available.
    • It is now possible to view entries captured on the workflow’s Initial Form.  All entries can be viewed except for matrix questions.
    • Under the Activities tab, any Form activity can now also be opened in a form record viewer to see all entries captured for a specific activity.
    • The new Summary / Overview tab lists the entire contents for the workflow across all activities (Form Entries, Tasks & Requirements).  This can also be exported to Excel.
    • Activities can now be started from the Workflow Editor in Windows and Sign Off activities can be completed directly from Windows.
  • Workflows can now be created in a batch from the Windows application by selecting multiple employees and choose Create -> Workflows from the ribbon bar.
  • Workflows now support Special Fields
    • Special fields are hardcoded “fields” that will be completed by HR Manage by calculating information from the employee (i.e. Leave available, Loans outstanding, etc.)
    • The special fields will be populated at workflow creation (if a Target Person is specified), otherwise it can be repopulated by clicking the “Recalculate Special Fields” action from within the Workflow (as long as the workflow is active and has not been completed).

Training Management

  • The Training Event and Record Manager Forms have been upgraded to the new UI framework, making it theme-compliant.
  • The Schedule Training Wizard has been upgraded to the new UI framework and simplified, requiring less clicks to schedule large batches of training.
  • Training Event and Record Editors have also been upgraded to the new UI framework.  All tabs (i.e. Learners, Invoices, Attachments, etc.) will be managed from buttons in the Ribbon bar.
  • We’ve creating new functionality to Publish Training Events online from where managers can request training for their employees.
    • Published Events can choose a set of Requirements that applicants must meet before being able to apply for training.
    • Training Requests created will be managed through a workflow.
    • Training Requests allow for the following functionality:
      • Automatic rejection of learners that don’t meet the criteria.
      • Manual Approval or Rejection of learners in the request by HR / the Training department.
      • Request creator can select optional items and generate their own quote which can be printed directly from the web.
      • Request creator can upload a purchase order that can then be approved or rejected by the workflow owners.
      • Upon successful approval of a training request, all learners will be scheduled for training for the published event.
  • Upgraded the Bursary editor to the new platform and added some additional fields.
  • SETA Training Types can now be edited by the administrator.
  • #003698:  Fixed an error when loading costs under Event invoices when the Event’s Auto Calculation setting is set to “Sum of Costs on Invoices”.

People Management

  • #003666:  Fixed an error “No actions specified for updating the records” when attempting to only add / remove requirements groups in a batch (with no other fields selected for update).
  • #003674:  Fixed a display issue where custom fields weren’t aligned next to their checkboxes in the batch updater.
  • Upgraded the Employee Manager and Person Editor screens to use the new UI framework
    • Employee photo can now be taken directly from a webcam attached to the computer using HR Manage
    • Employee photo can be edited slightly:  Adjust colours, crop, mirror, rotate
    • Screen space is saved by having all toolbars in the ribbon for the sub-sections which become visible as a related tab is selected (i.e. Relatives, Talent, etc.)
  • #003665:  Fixed an issue where merging employees with custom fields would cause the person to appear double in listings.
  • #003743:  When selecting employees, the system used to default to browsing Positions instead of Employees.  The system can now be configured to specify which must be viewed by default.
  • New Create button which can be used to create a batch of records for the selected people.  The Create button contains the following sub-items (each will open a Wizard):
    • Workflows
    • Training
    • Reviews

Payroll Integration

  • Extended the date recognition functionality to extact dates from strings where no format has been defined.
  • #003648:  Fixed an issue that allowed blank / null values to be imported fields that were configured not to allow null or empty values.
  • #003684:  Fixed an issue where importing an employee with an invalid value was allowed instead of rejected (incorrect handling of nulls).
  • #003667:  Fixed an issue where a record with an error would not make it to the staging table or show up in the error logs.
  • #003685:  Fixed an issue where some records that failed to import (for existing records) shows as imported successfully.
  • It is now possible to open an imported employee (with the Employee Editor) directly from the Import Results.
  • Created a new status for records in the staging table called “Checked – Warnings” which means that no changes were made to the employee during the import, but there were some fields that weren’t matched / nulls.
  • The Importer now supports retrieving data from Web APIs using pagination.  It can thus integrate with payrolls like Payspace where batches of records need to be downloaded instead of just a single batch of records.
  • We’ve created simplified UI for connecting to the APIs well known payrolls like Sage 300 People, Payspace and SimplePay.  Because the HR Manage Importer is generic so that it can integrate with almost any system or API, it can be quite complex / technical to configure it correctly for the different payroll providers (since their structures and methodology differs broadly from one to the next).  This new feature acts like a wizard by collecting the important information and then configuring the Importer’s Data Source accordingly.
  • Created a new feature to quickly create raw values from payroll in a batch into the HR Manage lookup tables.
